Doesn't Embarrass You
AI assistants that know your business, connect to your systems and admit what they don't know.
Everyone has met the bad chatbot: a loop of canned answers that ends in 'please call us'. We build the other kind: AI assistants grounded in your real business information that answer accurately, book appointments, qualify leads and hand off to a person when the conversation needs one.
What’s included
Grounded Knowledge
The assistant answers from your real content (services, pricing rules, policies, availability), so replies are accurate and current.
Bookings & Lead Capture
Connected to your booking, CRM and email, the bot can book the call, capture the lead and log the conversation.
Graceful Limits
Confidence thresholds, clean handoff to a person and full conversation logs, so the bot is honest about what it doesn't know.
What Modern AI Chatbots Can Do
Older chatbots matched keywords to scripts. A well-built assistant today reads your site and knowledge base, answers specific questions in plain conversation, asks qualifying questions back, and takes real actions through integrations. For a service business, that's a receptionist who's available at 9 PM and on weekends.
The hard part is engineering. An unconstrained model will confidently invent answers: prices you don't charge, services you don't offer. Grounding the assistant in your data and limiting what it may claim is the real work, and it's development work.
How We Build a Chatbot
We collect the source material first: your service pages, price rules, policies, service areas and the questions your staff answer every week. That becomes the assistant's knowledge base, written so it's accurate and easy to update. Then we define what the bot may do (book, capture, look up) and what it must hand off.
Before launch we test it with a long list of realistic questions, including awkward ones, and fix every wrong or vague answer. After launch we review conversation logs regularly and update the knowledge base as your business changes.
Where the Return Shows Up
After-hours lead capture is usually the biggest win: inquiries that used to land in a contact form at night and go cold become qualified, booked appointments. The same assistant also answers the repetitive questions that take up staff phone time, and logs every conversation as structured data in your CRM. We track all of it, so the bot's value can be measured.
What a Chatbot Needs From You
The quality of an AI chatbot depends mostly on the information behind it. We'll ask for your current service descriptions, the rules behind your pricing (even if you don't publish prices), your service areas and hours, your booking rules, and a list of the questions customers ask most often, ideally with the answers your best staff member would give.
We'll also need a decision on handoff: who receives conversations the bot can't handle, through which channel, and during which hours. Most of this already exists in someone's head or inbox. Writing it down for the chatbot often turns out to be useful for training new staff as well.
Where Chatbots Don't Fit
Chatbots are a poor fit for sensitive conversations such as complaints, billing disputes or anything involving health or legal advice, and for businesses with very low website traffic, where a well-designed contact form and a fast callback do the job. We'll tell you if that's your situation.
Frequently asked questions
Will the chatbot make things up about our business?
Not if it's built properly, and that's the core engineering problem. Our assistants answer only from your verified content, decline questions outside it, and hand off to a person rather than guess. Every conversation is logged and reviewable.
What can the chatbot do beyond answering questions?
Book appointments in your real calendar, capture and qualify leads into your CRM, send follow-up emails, check order or ticket status, and pass the conversation to your team with full context when it needs a person.
How much does a custom AI chatbot cost?
A grounded assistant that answers from your content and captures leads typically starts in the low five figures. Connected actions like booking and CRM integration add to that. Compare it with the leads currently lost after hours.
How long does it take to build a chatbot?
A focused assistant that answers questions and captures leads can often launch within a few weeks. Booking and CRM integrations add time, and we set the timeline with the scope.
How is this different from subscription chatbot widgets?
Subscription widgets are generic by design: shallow knowledge of your content, little connection to your systems, and someone else's branding in your customer experience. A custom build is grounded properly, connected to your booking and CRM, styled as part of your site and owned by you.
Can the chatbot hand off to a real person?
Yes. The assistant recognizes when a question is outside its knowledge or a customer asks for a person, then routes the conversation to your team with the full transcript and details, so the customer never has to repeat themselves.
Can we update what the chatbot knows?
Yes. The knowledge base is kept in plain, editable content. When your prices, services or hours change, you or we update it and the assistant uses the new information right away.
Where does the chatbot appear?
Usually as a chat window on your website, styled to match it. The same assistant can also answer on other channels your business uses, such as SMS, where the platform allows it.
